Leave App Guide (Hong Kong)

Guide to the Leave module for setting up leave policies, approval structures, granting of off-in-lieu for Hong Kong users.

To start using the leave app, let's first head over to set up your company's individual leave type policies.

Leave Settings

You will have to go to Manage Leave policies > Settings to get to your Leave Settings page.

In the Leave Settings page, you'll be able to see the following fields:

  • Leave Types - Default statutory leaves that have been set up for you in the system according to labour laws. You can adjust this as needed, per your own company's policies.

  • Leave Grades - To provide different Annual Leave policies for different groups of employees.

  • Leave Approval Structure - To set the approvers for different groups of employees

Leave Types

You can explore the different leave types and their relevant adjustable settings.

You can even filter the Leave Types showing based on which leave types have been assigned to a Leave Grade.

To get things started, you can refer to this article to guide you on how to set up different types of leave in the system.

Leave Grades

Once Leave Types are set up, you can move over to set up Leave Grades and Leave Approval Structure. Leave Grades are only needed if you have different groups of employees with different annual leave policies, such as part-timers and full-timers.

Leave Approval Structure

Lastly, you need to create at least one Approval Structure. The approver can be 1 person or selected by employees from a group of Approvers. Otherwise, you can set multiple Approval Structures based on departments, branches, and more.

Google Calendar Sync & Applying for Leave

In Talenox, we give you the option of connecting your Google account to sync approved leave applications into your company's Google Calendar. This would be good if you'd like your company employees to see who is applying for leave and when πŸ‘πŸ»

Applying for Leave

Upon completing the Leave Settings page setup, let's start to apply for leave. Leave Application is a fast process on Talenox.

Admins and Leave Approvers will be able to apply for leave on behalf of employees in the Leave module.

Now that you have gone through the various features in the Leave Setting's page, we can now move on to the other pages available in our Leave module.

Leave Balances

Head to the main navigational dropdown list to toggle to the Leave Balances page in Talenox.

Under Leave > Leave Balances, the leave balances summary page gives admins a quick overview of the specific leave balances of all the employees. You can hover your cursor over each tooltip to see the calculated breakdown of an employee's leave balance.

If you'd like a summary of the leave balances, you can click on the info arrow here:

Here you can view a summary of the balances, toggle between leave types and you can click on View detailed breakdown for further breakdown of the leave balances.

If you'd like a more in-depth look into each employee's individual leave entitlements, click on an employee's name to view more details.

Setting Up Off-in-Lieu

Off-in-lieu (OIL) is normally awarded when employees work overtime, work on Public Holiday, have good performances, or special reasons such as compassionate leave.

If you would like to reward your employees off-in-lieu, head to Manage Leave policies > Manage Off-in-lieu to set this up and manage OILs accordingly.

Leave Statuses & Leave Calendar

Leave Statuses

Once leave is submitted for approval by an employee, the leave will automatically appear in the Leave Statuses (Manage Leave policies > Leave statuses) page according to its status:

  • Green - Leave has been Approved

  • Amber - Leave is Pending Approval

  • Red - Leave is Rejected

An Admin can either choose to Approve, Reject, or View more about the leave application on this page. Admins will be able to override any leave approval structures to Approve or Reject leave applications as well.

You can amend leave applications but this applies to Pending and Rejected statuses only.

Leave Calendar

Lastly, we come to the final page in the leave module - Leave Calendar. This is where admins will be able to view company-wide leaves applied for in a staggered view.

By default, employees with User access will be able to view the leave calendars of the people within their own leave approval structures only.
