Process Payment For a Whole Month (Malaysia)

Process payroll, monthly & ad hoc payments for Malaysia Users

Monthly payroll can be done very quickly in just a few steps:

  • Step 1 - Select Employees

  • Step 2 - Select Pay Item

  • Step 3 - Select Tax Deductions and BIK/VOLA (non-monetary)

  • Step 4 - View Summary

  • Step 5 - View Month Total


Step 1 - Select Employees

First, navigate to Payroll > Process Payrun, then follow these steps:

  • Select pay period (e.g. Year, Month, Processing Whole Month Payroll)

  • Select the employees to be paid in this payment batch

  • Select 'Next' to head to the next step in processing payroll

Step 2 - Select Pay Item

Next, key in all pay items for processing - pay items can be keyed in according to 3 different tabs:

Monthly Payment/Deduction tab - these are recurring items that show up each time a new payment is created

  1. To add in new pay items

  2. To add any remarks shown on payslips

  3. Automatically checked based on Immigration Status and the Pay item type

Ad Hoc Payment/Deduction tab - these are irregular payments that will be reset whenever a new payment is created

  1. Extensive list of pay items available by default (and checked based on Immigration Status)

  2. Import feature that allows importing of pay items and amounts via Google Sheet or Excel

Hourly/Daily Attendance tab - this is to record exact hours or days worked by staff, including overtime

  1. Select Overtime types

  2. Number of Days or Hours

  3. Automatically calculated Rate of Pay (also editable when you need too)

Note: At any point, you may add or remove employees from a payment if needed. Naming a payment is also helpful if you intend to create multiple payments in a month.

Renaming Payrun Name

Here you can rename your payrun for easier tracking in case you run multiple payruns.

Step 3 - Select Tax Deductions and BIK/VOLA (non-monetary)

You can key in any additional tax deductions into the system.

  1. SOCSO contributions will be calculated and populated into this step automatically.

  2. You can create new items and select other related tax deductions

Step 4 - View Summary

In step 4, you'll be able to view a summary of all the amounts that have been keyed in for your employees so far in payroll. Once everything is in order, you can then proceed to the next step.

  1. View Summary page before you click Process

  2. Once ready, Process your payrun to mark it as Processed

Step 5 - View Month Total

The Month Total page is a summary page of the whole month's payments processed.

You can refer to the 'Net Payable' column for the net salary amounts calculated for disbursal to employees for the month. The Statutory Summary summarises any statutory contributions calculated for your employees as well.
