Types of User Roles

As the account owner, you can assign access rights to other users. These are the types of user roles available:

Here are the different access rights for each User Role, within each module, that we have available for assignment in Talenox:

Definitions of each Module Access Right

For Super Admin/Admin:

Profiles

  • Hidden - Module is completely hidden from view.

  • View Only - No edits can be made to the module by the user, only viewing purposes.

  • Manage - Able to edit all employee details in the module.

  • Manage Hidden Salary - Option only available for Profiles module. Users will be able to see and edit all details in employee profiles except for Salary details.

Payroll

  • Hidden - Module is completely hidden from view.

  • View Only - No edits can be made to the module by the user, only viewing purposes.

  • Manage - Able to edit all payroll details for employees in the module.

Leave

  • Hidden - Module is completely hidden from view.

  • View Only - No edits can be made to leave settings and employee application by the user, only viewing purposes. Admin can still apply for their own leave only.

  • Manage - Able to edit all leave settings and applications for employees in the module.

For User:

My Profile

  • Hidden - module is completely hidden from use/view from an employee

  • View Only - module is viewable by employees but no edits can be made at all (cannot be saved in the system by employees)

  • Limited Edit Access - module is accessible; only certain fields are editable by employees (e.g. Contact Details, NOK, Personal Details)

Leave

  • Hidden - module is completely hidden from use/view from an employee

  • View Only - module is viewable by employees; leave balances & leave calendar can be viewed by employees but leave cannot be applied for by employees (button to apply leave is removed)

  • Manage - module is accessible; leave can be applied for and leave balances & leave calendars can also be viewed by employees (as per previous access rights for a User)

Payslip

  • Hidden - module is completely hidden from use/view from an employee

  • View Only - module is viewable by employees; published payslips can be viewed and downloaded from the system

Tax

  • Hidden - module is completely hidden from use/view from an employee

  • View Only - module is viewable by employees; published tax forms can be viewed and downloaded from the system


Frequently Asked Questions (FAQ):

1) As the account manager (e.g. service provider) for a client, which role is most suitable?

If you're managing Talenox on behalf of your client, you are the first Super Admin upon signup.  Or you can request to be assigned as a Super Admin by your client.  

2) If I am a Super Admin for a company, can I add more Super Admins?

Yes, you may also remove them as Super Admins. It is advisable to restrict the number of Super Admins per company.


3) If I am a Admin, will I be able to add and invite Users to the system?

Yes, you will only be able to manage and give access to employee's with 'User' role types. You will not be able to adjust access rights of Admins and Super Admins of the account.
