For any Salary Increments, Promotions, or Employment Transitions (e.g., internship to full-time), you'll have to add a new job card in Talenox each time to ensure that these changes are reflected for an employee.

For example, when salary for an employee is increased midway through the month, the salary proration will be calculated accurately for your staff in Payroll when their Job Details are updated.

Additionally, job cards can be used to record transitions such as moving from part-time to full-time employment or from internship to part-time roles, ensuring all stages of employment are properly tracked.

Setting End Date of Current Job

You'll first need to set the End Date for the employee's current job:

  1. Head over to each employee profile in Profiles > Manage My Database > Employee Listing.

  2. Go to the Current Job Details section in the profile of the employee, click on "View all jobs".

  3. Set the End Date for the previous job/ salary, then click on "Save" in the card of the Current Job.

Ensure that the "Job End Date" is set correctly for temporary or part-time roles to maintain continuity in employment records. Do not use the "Resignation Date" unless the employee is permanently leaving the organization.

Adding New Job Card

Next, you'll have to add in a new Job Card:

  1. Click on "Add New Job" on the top right.

  2. Set the accurate Title, Department, Start Date of the new salary. Click on "Save" in the section.

  3. If you are unsure of the exact Job ID** to key in, Job ID** will be automatically generated if you are creating a new job card. You may choose to allocate your own Job IDs too.

Note: If it is just Salary Increment, the Title and Department should be the same. If it is a Promotion, you can update all the fields.

Thereafter, you can go ahead to process payroll. πŸ˜„

**NOTE: Job ID is used to differentiate job cards and were introduced when we rolled out our Job Card import feature.

If you are planning to mass import salary increment / job promotion for all employees, you can refer to the steps in this guide.
