The following are 3 frequently asked questions that we often encounter:
Is my payslip password still my date of birth?
No. From 5 November 2026, each payslip PDF has a randomly generated password instead.
Does the password email show my salary?
No. It contains only the password, with no payslip amounts or details.
I can't find the password email. What should I do?
Check your spam or junk folder. If it's not there, contact your HR admin.
What's changing
From 5 November 2026, every payslip PDF from Talenox is protected with its own unique, randomly generated password.
This replaces the previous password, which was based on the employee's date of birth. Each password opens only the payslip it was created for, and is sent to the employee in a separate email.
Why we made this change
Singapore's Personal Data Protection Commission (PDPC) has asked organisations to stop using NRIC numbers for authentication by 31 December 2026, following a joint advisory with the Cyber Security Agency of Singapore (CSA).
Personal details such as a date of birth are also easy for others to find, which makes them weak passwords. A random password tied to a single file is much harder to guess and better protects your employees' salary information.
How employees receive their password
The password always arrives in its own email, separate from the payslip. When it arrives depends on how the employee gets their payslip.
When the payslip is emailed (as an attachment)
The employee receives two emails:
Password email (sent first): contains the unique code for that month's payslip.
Payslip email (sent next): contains the password-protected payslip PDF as an attachment.
Employees should keep the password email. They need the code every time they open that payslip.
When the payslip is downloaded from Talenox
Right after the employee downloads a payslip PDF, Talenox emails them a new code for that file. Each download comes with its own password.
The password email never contains payslip amounts or details.
How to open a payslip PDF
Find the password email from Talenox for that payslip.
Copy the password from the email.
Open the payslip PDF.
Paste the password when prompted.
If an employee has several payslips, each one has a different password. Make sure they use the password email that matches the payslip they are opening.
What admins need to do
No setup is needed. The change applies automatically.
Tell your employees. Focus on those who receive payslips as PDF attachments or download them from Talenox.
Check employee email addresses. Password emails go to the employee's email address in Talenox, so make sure each one is correct and up to date.
