Download a company-wide claims report of your employees' expenses as a CSV file.

Written by Danial

The following are some frequently asked questions that we often encounter:

  1. How do I export a claims report?

  2. Can I get a claims report by employee?

  3. Which claim statuses can I include in the report?

Where to find Claims Reports

  1. Hover over Claims in the top navigation bar.

  2. Click Claims Reports.

How to generate the report

  1. Set the Start Date and End Date for the report.

  2. Under Select type of claims to include in the report, choose one of the following:

    • Processed Only: Includes claims that have been processed.

    • Confirmed & Processed: Includes confirmed claims and processed claims.

    • All Except Draft: Includes submitted, confirmed and processed claims. Draft claims are always excluded.

  3. Click Generate Report.

The report will download as a CSV file, which can be opened in Excel.

How are claims included based on the selected dates?

The Start Date and End Date are inclusive and follow your company’s timezone. The date used depends on the selected claim status:

Report option

Date used

Processed Only

Date the claim was processed

Confirmed & Processed

Confirmed date for confirmed claims; processed date for processed claims

All Except Draft

Submission date for submitted claims; confirmed or processed date for claims in those statuses

The report does not use the transaction date or receipt date for this filter.

What is in the report?

The report is company-wide, with one row per claim. Each row shows the following columns:

  • Employee: Employee ID, Employee Name, Department, Cost Centre

  • Payout: Processing Type, Month Year, Payout Date, Payout Remarks, Payout Proofs, Pay Item

  • Claim details: Title, Transaction Date, Merchant, Claim Currency, Claim Amount, Policy Group, Claim Policy

  • Status: Status, Status Updated At

  • Approvals: Approval Flow, Admin Override, Level 1 Approval to Level 5 Approval

  • Receipt: Receipt Currency, Receipt Amount, Tax Amount, Billed Currency, Billed Amount, Receipts

What do Month Year, Payout Date and Admin Override mean?

  • Month Year: the payroll month and year the reimbursement went into, for example "March 2025". It is filled only for payroll claims that have been added to a payrun. It is blank for direct payout claims, and for payroll claims not yet in a payrun.

  • Payout Date: for direct payout claims only, the payout date recorded when an admin processed the payout. It is blank for payroll claims and for claims not yet processed.

  • Admin Override: the admin who approved the claim outside the normal approval flow, shown as "Name (approved/pending/flagged)". It is blank when no override happened, and for admin-only flows, where the admin appears under Level 1 Approval instead.

Can I get the report by employee?

The report covers the whole company, and every row carries the employee's ID and name. To see one employee's claims, open the CSV in Excel and filter or sort by the Employee Name column.
