How to Set-Up Employee Name Order in Statutory Files and Tax Forms? (Malaysia)

In Talenox, there are several fields which we use to pull employee names from in employee profiles. These are the fields that we pull from in order of priority:

  1. Name On Identification Card / Passport

  2. Bank Account Holder’s Name

  3. First Name / Last Name (based on “Employee profile name order settings” set up in company details page)

The order of priority will ensure that we pull from that section highlighted first unless it is left blank.

This will be the priority flow of our naming conventions that apply to Statutory Files and Tax Forms for employees:

  • The "Name On Identification Card / Passport" field will override all other fields in statutory files and tax forms name population for employees.

  • If "Name On Identification Card / Passport" field is left blank, then the system will fall back on the "Bank Account Holder's Name" field naming convention.

  • If "Bank Account Holder's Name" field is left blank, then the system will fall back on "First Name / Last Name" field naming convention.


Where Can I Find the Different Naming Convention Fields Highlighted?

1) Name On Identification Card / Passport

You can head to Profiles > Employee Listing > Employee's Profile > Identification Documents > Name on Identification Card / Passport to key this field into your employee's profile:

As a default, this section will be generated automatically for employees in the following order of priority:

  • Bank Account Holder's Name

  • First Name / Last Name

If you wish to update the name showing, you can click on the "Edit" button to make your changes.

2) Bank Account Holder’s Name

You can head to Profiles > Employee Listing > Employee's Profile > Payment Details > Bank Account Holder's Name to key this field into your employee's profile:

This section is also available for mass updating through our employee data importing sheet.

3) First Name / Last Name

You can head to Profiles > Employee Listing > Employee's Profile > Personal Details > First Name & Last Name to key this field into your employee's profile:

The system will follow the naming order for this field according to the settings selected under Employee profile name order settings section (under Company Details > Basic Information).

These are the options that can be selected:

  • First Name, followed by Last Name

  • Last Name, followed by First Name

  • Nickname / First Name, followed by Last Name

  • Nickname / Last Name, followed by First Name

  • First Name, followed by Last Name / Nickname

  • Last Name, followed by First name / Nickname

NOTE: Nicknames will be automatically omitted from Statutory Files and Tax Forms name generation process.
