Email Update for Claims statuses

When the employee submits an expense claim in the system, there will be an email update regarding his/her claims status. The Admin will also receive an update on the claims that are pending for approval, flagged, approved, confirmed, and processed.


There are 2 types of emails update:

Hourly Overview

The Hourly Overview is sent out at every hour and contains information on claims that have been submitted, approved, flagged, and processed any time within the past hour.

Employees will receive this email and it will update any status change for their own claims. They would also receive an update regarding their flagged claims.

Claims admins will receive this email and it will update any status change for the claims submitted by the employees they managed. They would also receive the latest update from the flags that they have created.

Weekly Summary

The Weekly Summary is sent once weekly every Tuesday 9AM local time. It contains information on claims that have been submitted, approved, flagged, and processed any time within the past week (Mon-Sun).

Employees will receive this email and it will update any status change for their own claims. It will also contain the latest replies by the claims admin for any of their flagged claims.

Claims Admins will receive this email and it will update any status change for the claims submitted by their employees they oversee. They will also receive the latest update for the flags that they have created.

Good to know: Hourly overviews are meant to keep users informed of all that is happening that concerns them within the Claims module.

Weekly summary is meant as a summary of what has happened in the past week as well as a reminder of what is actionable. For example, an admin may miss out some pending claims as they miss out the hourly email. They will be reminded once more in the weekly summary.

Currently the email update can only be disabled in the back end.

Therefore, do reach out to our team and you can choose which status to hide the updates.
